Setting up your presentation

Shortly after you enter the Green Room, the Green Room Coordinator will remind you that you must complete setting up your presentation material (if any). That material could be a PowerPoint slide deck, a pre-recorded video, or something else.

Since delivery of a presentation using PowerPoint slides may be the method most commonly used by most presenters, we'll cover that method in detail. If you plan to deliver your presentation using some other method, please discuss your plans with the event staff or OnAIR staff during your hands-on practice session.

CRITICAL

If you are using PowerPoint (or similar software) either as a collection of slides or as a pre-recorded presentation, you must perform the actions identified on this page to set up your presentation for delivery in OnAIR. You should start the setup process as soon as you have entered the Green Room. Accomplishing setup as early as possible will help prevent you from feeling rushed as the time for presentation draws near.

You will be reminded by the Green Room Coordinator of the need to set up your presentation. You can ask the Coordinator for help if you are having trouble accomplishing the tasks.

A little background information...

You will likely use your own computer to create your PowerPoint presentation; therefore, those slides will exist only on your computer. In order for the event audience to see your slides, the slides' content must be brought into OnAIR so it can be placed on the Main Stage. To accomplish that requirement, you are going to run PowerPoint on your computer, and you are going to share your computer screen with OnAIR. When you do that, everything you are sharing from your computer will be shown to the event audience. You can talk through your microphone and you can progress from slide to slide on your computer — just like you would normally do at a "live" event.

PowerPoint setup actions sequence

The diagram below shows the sequence of actions you must perform in order to setup PowerPoint on your computer.

Some of the action blocks are highlighted in yellow and contain an icon Icon indicating that more information about the action is available. Click/tap an action block to jump to the additional information.

You should follow exactly the sequence shown in the diagram, with particular attention to the step that determines the number of monitors (screens) attached to your computer. Your actions differ greatly depending upon this determination. Remember...all of the actions shown in the diagram can be performed immediately after you enter the Green Room; in fact, some can be accomplished before you enter the Studio.
